Subscription Terms

1. What these terms cover
These Subscription Terms describe how the AcuSaif™ safety monitoring service is priced, how the subscription runs, and how it ends. They apply to organizations that subscribe to the AcuSaif service from Smart Safety Solutions LLC (“Smart Safety Solutions,” “we,” “us,” or “our”). Your signed service agreement, including its Order Form, is the controlling document; if these terms and your signed agreement differ, the signed agreement wins. Use of the acusaif.com website itself is governed by our Terms of Service, and our Privacy Policy explains how we handle personal information.
AcuSaif hardware is provided as part of the subscription. You are not buying cameras; you are subscribing to a monitored service that includes them, which is why the cameras go back to us when the subscription ends (section 11).
2. Plans
Every camera on your account runs on one plan. Prices are per camera, per month, and all prices in these terms are exclusive of applicable sales tax.
- Production, $100 per camera per month. Production monitoring and project documentation, automatic job-site photos, crew and job dashboards, and a rolling 30-day image history in the admin app.
- Safety, $150 per camera per month. Everything in Production, plus safety alerts, incident documentation and safety reporting, full image history with no 30-day window, and extended historical review.
The 30-day limit on the Production plan is a visibility window, not a deletion schedule. Images older than 30 days stay archived; they are just not visible on that plan. If you move to the Safety plan, your full archive becomes visible again.
3. Company minimum and the self-serve tier
Standard AcuSaif accounts start at five cameras and carry a company minimum of $750 per month. The minimum is measured across your monthly subscription including Device Care. If your selected cameras and options come to less than $750 in a month, $750 is what you pay for that month.
Below five cameras is our self-serve tier. Self-serve accounts run on the Production plan only, pay per camera with no company minimum, and receive email-only support: no onboarding call, no training, and no phone or scheduled support. You mount the cameras, the app does the rest, and we answer email. Everything else about the subscription, including the term, activation, Device Care, and cancellation, works the same as a standard account. At five cameras, an account becomes standard: the Safety plan opens up, full support begins, and the company minimum applies.
4. Activation
Each camera carries a one-time activation fee of $100, which covers shipping, provisioning, and configuration. Activation is due at signup, during your free first month, and is not refundable.
5. Term and renewal
The subscription term is 12 months of service: your first month is free, followed by 11 paid months. The free month applies to your initial term only; renewal terms bill all 12 months.
The term renews automatically for successive renewal terms of the same length unless either party gives the other written non-renewal notice at least 30 days before the end of the then-current term. Non-renewal carries no fee; the agreement simply ends when the term does.
We may change fees at renewal. If you do not agree with a fee change, your remedy is to give non-renewal notice as described above. Continuing to use the service into a renewal term is agreement to the renewal pricing.
6. Device Care
Device Care is optional coverage at $12.50 per camera per month. It is all or nothing: it covers every camera on your account or none, and it cannot be bought for individual cameras.
- Covers accidental damage during normal use, plus lost or stolen cameras.
- Up to 2 replacements per device per calendar year.
- $50 service fee per approved replacement.
- Damaged cameras must be returned to us. This applies to damage claims; a lost or stolen unit obviously cannot be returned.
Device Care can be added at exactly two moments: when your service starts, or when you add a camera to your account. It cannot be added at any other time. A camera added to an account that already carries Device Care is covered automatically. Device Care counts toward the company minimum in section 3.
7. Adding and removing cameras, changing plans
You can add cameras at any time. During your first 6 months with us, each added camera carries the $100 activation fee; after 6 months, added cameras activate free. An added camera's subscription is prorated to the remainder of the current term.
Removing cameras mid-term is a partial cancellation of your subscription, requested in writing, and it carries the same kind of fee as ending the agreement early: 50% of the removed cameras' plan subscription for the rest of the then-current term, at the then-current rate. For example, removing 10 cameras with 6 months left on the term costs 3 months of those 10 cameras' plan fees. Device Care on removed cameras simply ends; it is never part of the fee. Removed cameras go back to us on a prepaid return label, like any return. If a removal takes your account below five cameras, the account becomes self-serve under section 3: Production plan only, no support.
Moving up, from Production to Safety, you can do at any time on a standard account. Moving from Safety to Production is done by request and takes effect as agreed with you.
8. Ending the agreement early
The subscription cannot be cancelled during the first four months of the initial term, and early termination notice cannot be given before the fifth month begins.
From the fifth month onward, you may end the agreement by giving us written early termination notice of 30 days. The notice period is served and billed: service continues and is charged through the end of the 30 days.
Ending the agreement early carries an early termination fee of 50% of the plan subscription balance remaining after the notice period ends, calculated at your then-current rate. Device Care is not part of the fee; it simply ends with the agreement. Because the fee is measured after the notice period, the notice month is never charged twice. If your notice period runs past the end of the current term, the agreement simply ends when the notice period does: you pay for service through that date, the term does not renew, and the fee applies only to whatever remained of the term after that date, which can be nothing.
Note the difference between the two notices in these terms: non-renewal notice (section 5) ends the agreement at the end of the current term and carries no fee; early termination notice (this section) ends it mid-term and carries the fee above.
9. Annual prepay
You can pay for a year up front and save 5%. The discount applies to the paid months of the term, including Device Care, and to the activation fees in your initial order.
If a prepaid agreement ends early under section 8, the discount stays applied: we refund your unserved months at the discounted rate you actually paid, less the early termination fee calculated on that same discounted basis. Activation fees are not refundable.
10. Billing, sales tax, and non-payment
Subscriptions bill monthly unless you have prepaid. All amounts are exclusive of sales tax, which is added where applicable law requires.
If an invoice goes unpaid, we will notify you. At 30 days past due, we may suspend your account’s access to the admin app and dashboards. Your cameras keep capturing and safety alerting through a suspension; suspension limits who can see the data, not the safety record itself, and paying the balance restores your access to a complete, unbroken history. At 60 days past due, we may recall the hardware. A recall for non-payment ends the agreement and is treated as an early termination under section 8: the fee there applies, calculated on the plan subscription balance remaining after the recall date, and it applies at any point in the term. Amounts already past due remain owed on top.
11. Hardware
AcuSaif cameras and mounting hardware remain the property of Smart Safety Solutions. When the agreement ends, the cameras come back to us: we provide a prepaid return label, and you send back every camera on the account in reasonable condition within 30 days of the end of service. Hardware that does not come back within that window, or that comes back damaged beyond normal wear on an account without Device Care, may be invoiced at our then-current replacement price.
12. Your images and data
We do not delete your job-site imagery on our own schedule. Images are retained through the life of your subscription and after it ends, and if you come back, your archive is available again. The Production plan’s 30-day window limits visibility, not retention (section 2).
Individuals’ rights to request deletion or correction of their personal information are described in our Privacy Policy and are not limited by this section.
13. Larger deployments
Companies deploying 30 or more cameras qualify for volume pricing, a customized implementation and deployment plan, an onsite onboarding visit, and training for management, administrators, and crews. Contact us and we will build the plan with you.
14. Changes to these terms
We may update these Subscription Terms from time to time. The updated version will be posted on this page with a revised effective date. For subscribed customers, the signed service agreement controls (section 1).
